The purpose of this position is to execute buying and invoicing function under Procurement Unit in country office in effective and efficient way. The role also includes managing Air ticketing service and events management for the all SCI staffs or programs. Provide necessary support to the Supply Chain Team. The position holder will support to coordinate with program team internally and with suppliers, transporters and other stakeholders externally for the timely procurement and delivery of different goods and services for the country office program
It also includes assisting line manager on development and revision of procurement system, and other tools for strengthening effective and efficient program logistics. The position holder primarily will work for Supply Chain department of CO also require spending time for field visit and partner capacity building as and when required.
KEY AREAS OF ACCOUNTABILITY :
- Act as the focal point for domestic and international air ticketing for staff.
- Coordinate with SCI global travel desk for international air ticketing.
- Maintain Air Ticketing Tracking System of staff travel and submit necessary information to the finance department for payment processing.
- Ensure the financial aspects of procurement and ticketing are handled accurately.
- Receive and Check Procurement Requests for goods and services in ProSave
- Process single and simple quotations for buying goods/services and consultancy services.
- Review and draft Purchase Orders (Pos) for approval.
- Manage logistics related to workshops, training, or events. Facilitate for booking accommodation and venues for events or workshops.
- Initiate Supplier Registration & Vetting, update and develop a list of qualified vendors, ensuring all are vetted and monitored
- Maintain records of supplier performance and ensure compliance with safeguarding policies by conducting supplier visits and audits.
- Responsible for purchasing and invoicing through the ProSave system.
- Ensure all invoices and payment documents are submitted bi-weekly to the finance team.
- Work with suppliers to ensure timely goods and invoice delivery.
- Maintain Close Coordination with Finance, work closely to ensure accurate and timely payment processing.
- Check and Close Purchase order in ProSave after work completion.
- Coordinate with Field Offices and provide support and capacity-building for local partners (PNGOs), ensuring timely delivery of goods and services.
- Ensure that the distribution, storage, and handling of medicines follow Good Distribution Practice (GDP) guidelines.
- Carry out investigations as needed and contribute to continuous improvement in GDP procedures.
- Notify the Responsible Person/Quality Manager of any deviations from established procedures.
- Work in emergency response activities as part of the SCI dual mandate.
- Ensure suppliers / service providers are complaint with SCI Supplier Sustainability Policy.
Qualifications and Experience:
- Bachelor’s degree in Management or related disciplines
- 3 years experience in procurement of goods and services.
- Experience in Development field will be an advantage.
- Proficiency in Microsoft Office, especially in Microsoft Excel
- Good communication skills in English and Nepali
- Proactive and assertive
- High personal integrity – open and transparent in dealing with vendors
- Cultural awareness and ability to work well in multicultural environment with people from diverse backgrounds and cultures.

- Good negotiation skill
