Position Overview
The Program Coordinator will support the effective planning, coordination, implementation, monitoring, and reporting of programs and projects undertaken by Youth Innovation Lab. The position will work closely with program teams, partners, consultants, trainers, participants, government and non-government stakeholders, and support departments to ensure activities are delivered on time, within scope, and in accordance with organizational and donor requirements.
The Program Coordinator will play a key role in translating project plans into well-coordinated activities while maintaining strong documentation, stakeholder communication, program quality, and learning.
Key Responsibilities
Program Planning and Implementation
Coordinate day-to-day implementation of assigned projects and program activities.
Prepare and regularly update work plans, activity schedules, timelines, and implementation trackers.
Coordinate workshops, trainings, consultations, meetings, campaigns, field activities, and other project events.
Ensure activities are implemented according to approved project documents, timelines, and expected results.
Identify implementation challenges and coordinate timely solutions with the Program Manager/Project Lead.
Stakeholder and Partner Coordination
Maintain regular coordination with project partners, consultants, trainers, participants, institutions, and relevant stakeholders.
Support communication and follow-up with government agencies, development partners, civil society organizations, academic institutions, private-sector actors, and youth networks as required.
Organize coordination meetings and document key decisions, responsibilities, and follow-up actions.
Training and Event Coordination
Coordinate logistical and programmatic arrangements for trainings, bootcamps, workshops, conferences, and other events.
Support trainers and facilitators with participant information, training materials, schedules, venues, and required resources.
Support participant recruitment, registration, communication, attendance, and post-event follow-up.
Ensure training and event documentation is properly maintained.
Monitoring, Evaluation and Learning
Support the collection and maintenance of project data, participant information, activity outputs, and performance indicators.
Monitor implementation progress against approved work plans and project targets.
Coordinate participant feedback, pre/post assessments, surveys, and other monitoring tools.
Document lessons learned, success stories, challenges, and good practices.
Work with relevant team members to use monitoring findings for continuous program improvement.
Reporting and Documentation
Prepare activity reports, meeting minutes, progress updates, participant records, and other project documentation.
Contribute to periodic narrative and donor reports.
Maintain organized digital and physical project records.
Ensure supporting documentation is complete and available for monitoring, reporting, auditing, and institutional learning.
Budget, Procurement and Administration Coordination
Coordinate with the Finance and Administration team on activity budgets, procurement requests, payments, travel, logistics, and supporting documentation.
Monitor activity-level expenditures in coordination with relevant team members.
Ensure program activities follow organizational procedures and donor requirements.
Communications and Outreach
Coordinate with the communications team to support project visibility, outreach, participant engagement, and dissemination.
Provide accurate program information, activity highlights, participant stories, and results for communication materials.
Support outreach to relevant institutions, networks, communities, and target beneficiaries.
GESI, Safeguarding and Compliance
Promote gender equality, social inclusion, accessibility, and meaningful participation of underrepresented groups across program activities.
Ensure project implementation follows organizational safeguarding, ethical, and data protection standards.
Support compliance with donor requirements, organizational policies, and relevant laws and regulations.
Required Qualifications and Experience
Minimum Bachelor's degree in Development Studies, Management, Social Sciences, Public Administration, International Relations, Business Administration, Project Management, or another relevant discipline.
Preferably 3–5 years of relevant professional experience in program/project coordination, development programs, youth engagement, innovation, education, technology, governance, or related sectors.
Experience coordinating donor-funded or multi-stakeholder projects is preferred.
Experience organizing trainings, workshops, events, or capacity-building activities.
Experience in project documentation, monitoring, reporting, and stakeholder coordination.
Required Skills and Competencies

Strong written and verbal communication skills in English and Nepali.
Ability to manage multiple activities and deadlines simultaneously.
Strong stakeholder engagement and interpersonal skills.
Good report writing and documentation skills.
Working knowledge of monitoring, evaluation, and results tracking.
Proficiency in Microsoft Office, Google Workspace, and digital collaboration tools.
Ability to work collaboratively in multidisciplinary and multicultural teams.
Strong problem-solving, adaptability, and attention to detail.
Willingness to travel to project implementation areas when required.

Performance will be assessed based on timely and quality implementation of assigned activities, achievement of project deliverables, stakeholder coordination, quality of documentation and reporting, compliance with organizational and donor requirements, effective teamwork, and contribution to overall program outcomes.
