ROLE PURPOSE:
The Admin & Finance Assistant will support the organization in day-to-day administrative and finance-related functions, ensuring proper documentation, record keeping, financial transactions, procurement support, and smooth office operations. The position will assist in maintaining accurate financial and administrative records and provide logistical and administrative support to project and program activities.
The role will require close coordination with the central and project teams to ensure timely completion of administrative and finance-related tasks and proper documentation in accordance with organizational policies and procedures. The position may also be required to undertake field visits or travel to project locations on a need basis to support administrative and finance-related activities.
Description
ACCOUNTABILITIES:
Finance and Accounting Support
Assist in maintaining accurate and up-to-date financial records, vouchers, bills, receipts, and supporting documents.
Support the preparation of payment vouchers and processing of payment requests, expense claims, advances, and settlements.
Assist with cash and bank-related transactions and maintain proper supporting documentation.
Support petty cash management and ensure timely recording and reconciliation of transactions.
Assist in maintaining financial files and records in accordance with organizational policies and procedures.
Support preparation of basic financial reports, summaries, and expenditure statements as required.
Assist in checking bills, invoices, and other financial documents for completeness and accuracy.
Support the timely settlement of staff advances and outstanding financial claims.
Coordinate with relevant staff to collect and verify financial and administrative documents.
Assist during internal and external audits by organizing and providing required financial documentation.
Administrative Support
Provide day-to-day administrative support to the office and project team.
Maintain proper filing and documentation systems for administrative and financial records.
Assist with procurement of office supplies, goods, and services in accordance with organizational procedures.
Support vendor coordination, quotation collection, purchase documentation, and related administrative processes.
Maintain records of office supplies, equipment, assets, and other administrative items.
Assist with meeting arrangements, logistics, travel arrangements, and other office-related activities.
Support documentation and coordination related to staff travel, field visits, workshops, meetings, and events.
Assist in maintaining office inventories and ensuring timely replenishment of essential supplies.
Field and Logistics Support
Travel to project/field locations on a need basis to support program and operational activities.
Coordinate with field teams, vendors, local service providers, and other stakeholders as required.
Ensure that relevant administrative and financial documents from field are properly collected and documented.
Compliance and Documentation
Ensure administrative and financial activities are carried out in accordance with organizational policies, procedures, and applicable requirements.
Maintain confidentiality of financial, personnel, and organizational information.
Ensure proper filing and retrieval of financial and administrative documents.
Immediately report any discrepancies, missing documents, or issues related to financial and administrative transactions to the supervisor.
Perform other finance and administrative duties assigned by the supervisor.

REQUIRED ACADEMICS & EXPERIENCE:
Bachelor's degree completed or currently pursuing in Accounting, Finance, Management, Business Administration, or a related field.
At least 1 year of relevant experience in accounting, finance, administration, or a related role is preferred.
Candidates with prior experience or practical exposure in accounting, bookkeeping, financial documentation, or finance-related administrative functions will have an added advantage.
Fresh graduates or candidates currently pursuing a Bachelor's degree with relevant internship, accounting, administrative, or practical experience may also be considered.
Experience working with NGOs, development organizations, or project-based organizations will be an advantage.
Ability to support the Senior Operations & Finance Manager with day-to-day finance, administration, and operational tasks.
Ability to maintain accurate and well-organized financial and administrative records.
Ability to ensure timely processing and documentation of financial and administrative transactions.
Willingness and ability to travel to field locations on a need basis.
Demonstrated reliability, integrity, accuracy, confidentiality, and professionalism.
SKILLS:
Good communication skills in both English and Nepali (written and spoken).
Good working knowledge of MS Office, particularly MS Excel and Word.
Basic knowledge of accounting, bookkeeping, financial documentation, vouchers, bills, receipts, petty cash, and bank-related transactions.
Familiarity with accounting software or financial management systems will be an advantage.
Ability to organize, maintain, and retrieve financial and administrative records accurately.
Strong attention to detail and ability to identify discrepancies or missing documentation.
Good coordination, follow-up, and organizational skills.
Ability to manage multiple routine administrative and finance-related tasks within deadlines.
OTHER REQUIREMENTS:
A valid two-wheeler driving license and access to a motorcycle/scooter will be an advantage.
Willingness and ability to travel to field locations when required.
High level of integrity, confidentiality, and professionalism.
