Position Title: SCM & Admin Assistant

Duty Station: WAC Nepal (Working for Access and Creation Nepal)
Reports To: Admin and Finance Officer

Position Summary

The SCM & Admin Assistant is responsible for supporting efficient and compliant supply chain, logistics, procurement, and administrative operations of the organization. The role ensures effective implementation of source-to-pay processes, logistics coordination, office administration, asset and inventory management, and full utilization of the Supply Chain Automation and Integration (SCAI) system for all procurement activities.

Key Responsibilities

1. Source-to-Pay (S2P) Management

  • Perform end-to-end procurement processes from sourcing to payment in compliance with organizational procurement policies.
  • Prepare and process Purchase Requisitions (PR), Request for Quotations (RFQ), bid analysis, Purchase Orders (PO), and other procurement documents.
  • Ensure procurement documentation is complete, accurate, and properly filed.
  • Coordinate with vendors and internal stakeholders for timely delivery of goods and services.
  • Track procurement status and follow up on pending procurement actions.
  • Support contract administration and supplier performance monitoring.
  • Coordinate with finance for timely invoice verification and payment processing.
  • Maintain procurement records and ensure audit readiness.

2. Supply Chain Automation & Integration System (SCAI)

  • Ensure 100% utilization of the SCAI system for all procurement and source-to-pay activities.
  • Enter and maintain accurate procurement and vendor data in the system.
  • Monitor system compliance and ensure procurement transactions are completed within the system.
  • Support staff in proper utilization of the SCAI platform.
  • Generate procurement and supply chain reports from the system as required.
  • Identify system gaps/issues and coordinate with relevant teams for resolution.

3. Logistics Management

  • Support transportation and logistics coordination for staff, visitors, meetings, training, and field activities.
  • Coordinate vehicle requests, vehicle hiring, and travel logistics as required.
  • Support fleet documentation and maintain logistics records.
  • Coordinate delivery and distribution of procured goods.
  • Perform warehouse and inventory management activities.
  • Perform asset tagging, tracking, transfer, and verification processes.

4. General Administration

  • Support day-to-day office administration and operational activities.
  • Manage office supplies and stationery inventory.
  • Coordinate meeting arrangements, venue management, and administrative logistics.
  • Maintain proper filing systems for administrative and procurement documents.
  • Support office maintenance and facility management activities.
  • Coordinate with service providers and ensure uninterrupted office support services.

5. Compliance and Reporting

  • Ensure compliance with organizational policies, procedures, and donor requirements.
  • Support preparation of procurement and administration reports.
  • Assist during audits, monitoring visits, and compliance reviews.
  • Maintain confidentiality and integrity in all procurement and administrative processes.

Required Qualifications

  • Bachelor’s degree in Business Studies, Economics, Management, or related field.
  • Minimum 2 years of relevant experience in procurement, supply chain, logistics, administration, and financial management.
  • Experience in source-to-pay processes and procurement documentation.
  • Experience working with automated procurement systems is preferred.

Required Skills and Competencies

  • Good understanding of procurement and supply chain management processes.
  • Knowledge of financial management and payment processing procedures.
  • Strong organizational and documentation skills.
  • Good communication and coordination abilities.
  • Proficiency in Microsoft Office applications.
  • Ability to work under pressure and manage multiple tasks.
  • Strong attention to detail and compliance requirements.
  • Experience in using SCAI systems or similar ERP platforms will be an added advantage.
